Sales Administrator Internal Service (f/m/d)

Workload: 24 - 32 hours per week 

The primary responsibility of this role is to manage the quote and order administration, along with various sub-administrations, ensuring all records are up-to-date and accurate. The aim is to provide timely and relevant information to support the After Sales Department through efficient administration.

KEY RESPONSIBILITIES 

  • Execute all administrative tasks related to sales and aftersales processes
  • Handle and direct incoming phone calls professionally
  • Prepare and maintain quotes and orders in the ERP system, ensuring all related administrative tasks are completed accurately
  • Enter orders into the system, generate order confirmations, and maintain proper archiving
  • Create direct purchase orders linked to customer orders
  • Monitor delivery times and shipments of spare parts
  • Generate invoices based on the ERP system
  • Draft and send Service Agreements to clients
  • Keep administrative records updated using ERP systems
  • Manage and maintain scheduling and administrative calendars
  • Coordinate travel arrangements, including flights and hotel bookings
  • Arrange international material shipments via DHL Express
  • Professionally and efficiently handle incoming phone calls and direct them as needed
  • Communicate with customers regarding order status and spare parts delivery times
  • Liaise with suppliers to ensure timely deliveries and resolve any related administrative issues for spare parts orders

YOUR PROFILE 

  • MBO-level education in a technical field
  • Proficient in Microsoft Office
  • Experience with ABACUS is a plus
  • Fluency in both Dutch and English, both spoken and written
  • Proficiency in German (spoken; written is a plus)
